Process Optimisation
In early 2025 I introduced a dedicated Workspace in Monday.com to replace scattered spreadsheets and stand-alone apps. By centralising Marketing, Fleet and Project Operations in one place, the team shifted from disjointed files to a live, cloud-based hub that shows pipeline, assets and resources in real time, enabling quicker decisions and tighter collaboration.

Challenge
Before the change, key information sat in separate Excel sheets, email threads and point solutions, making it hard to know which numbers were current. Managers wasted hours reconciling versions, marketing progress was largely invisible, and fleet data was often wrong or late. These silos delayed projects, increased risk and kept meetings focused on hunting data instead of acting on it.
Objective
The rollout aimed for practical wins, not bells and whistles. Only boards that shared real dependencies were linked, allowing updates to flow from tenders into delivery while Marketing and Fleet remained independent. Key targets included cutting meeting preparation by around thirty percent, reducing manual data errors, and achieving at least eighty-percent adoption within the first quarter.
Results
Three months in, the system is doing its job, even after the usual teething issues. We re-trained reluctant users and tweaked board structures, yet adoption still reached about eighty-five percent. Managers now start meetings with a current dashboard, saving roughly two hours of prep each week. Duplicate asset entries have virtually disappeared, and project kick-offs begin sooner and with fewer surprises.
