Challenge

Project teams were spending thousands of hours each year manually writing and reviewing meeting notes. This repetitive admin work slowed down delivery, created inconsistency across meetings, and impacted clarity, especially on fast-paced commercial jobs running concurrently.

Objective

Select and roll out an AI-powered transcription tool that automates meeting documentation without adding admin. It needed to integrate with Procore and Microsoft Teams, support offline/site conditions, and meet Australian data privacy standards, while saving time and improving communication across teams.

Results

The rollout is currently underway, starting with pilot teams across SA and NSW. Adoption and usage data will be tracked across phases, with outcomes measured in hours saved, licence ROI, and improved collaboration. Early feedback has been positive, and the framework is ready to scale across regions.
